The Opportunity
We are currently recruiting for a full time
Database and Analytics Manager to join our team in
Toronto, ON. This position is responsible for providing critical leadership in the area of database management, and analytics to support Save the Children Canada’s (SCC) marketing, fundraising and communications initiatives. Reporting directly to the Chief Development Officer and working closely with the key members of the Resource Development and Communications Department, the Database and Analytics Manager will optimize data management processes and tools to provide key insights into prospect and donor behaviour.
Through a thorough understanding of internal and external trends, and by providing an integrated and comprehensive view of constituency information, this position will provide data-driven insights to facilitate informed decision-making, and support strategic choices as well as investment options.
Duties and Responsibilities

1. |
Database Administration & Management:
- Serve as the primary administrator of Save the Children’s CRM databases (currently Raiser’s Edge (RE) and NetCommunity, AKA Raisin) to ensure that database(s) are optimized to track, capture and report on results and identified performance and key performance indicators
- Manage and update all database modules as required, ensuring all internal and external software interfaces are tested and seamlessly integrated (e.g. finance)
- Working with the Donor Services, review, update, document and maintain and communicate all data input, gift processing and acknowledgement procedures
- Review and recommend updates to database coding structure to track donations by source, channel, appeal, campaign, etc
- Track and document all changes in functional and business requirements; documents all data tracking procedures for users and for training purposes
- Perform regular database clean-up and maintenance (address standardization, duplicate account clean up, etc.)
- Ensure database integrity is maintained by performing regular audits to ensure compliance requirements are met
- Manage data requests for mailings, appeals, e-blasts, e-News, special initiatives and ad-hoc requests
- Manage and act as the primary point of contact for all database-related vendors
- Ensure data import/export issues are identified, resolved and seamlessly integrated into the database
- Extract data for submission to vendors and upload data from vendors into the database (eg. telemarketing, F2F, DRTV, Appends, etc)
- Ensure safe storage and back up of Save the Children Canada’s Donor information

Analysis and Reporting:
- Design and implement systems to accurately and effectively measure and report on results and performance by program.
- Analyze complex data reports to identify, spot and interpret trends and make recommendations for adjusting strategies to improve performance
- Prepare monthly, quarterly reports showing results, performance and Key Performance Indicators (KPI) reports for Board, Leadership and Resource Development and Communications Teams
- Create and install a series of fundraising and communication program dashboards to assist staff in measuring, monitoring and triggering actions to meet performance objectives
- Support SCC’s participation in internal and external benchmark studies (e.g. INGO, SCI)
- Ensure all supporting Standard Operating and Training Materials to run all reports, including definitions and processes are accurate and up to date
- Manage the Donation Reconciliation process, ensuring reports are balanced, accurate and submitted on time to the Finance Department (Controller)

Continuous Improvements:
- Act as the lead on identified projects or assignments such as CRM system review and requirement, CRM RFP
- Analyze the feasibility of, and develop requirements for, new systems and enhancements of existing systems to ensure they continue to meet organizational and user needs
- Identify opportunities to improve or change business processes using both technological and non-technological solutions

Other:
- Ensure gift processing and receipting guidelines comply with Canada Revenue Agency (CRA) requirements and that data capture procedures comply with PCI, PIPEDA, CASL regulations
- Provide appropriate level training to staff on how to use the database
- Participate in database training and user group opportunities to keep up-to-date on data management, reporting and analytics
- Working closely with the Controller, contribute to the annual financial audit by providing requested reports and/or pulling documentation, including receipts
- Other special projects as required

Qualifications and Experience
- Post-secondary education in related field such as Database Management, Business/Marketing Analytics, Statistical Analysis, Computer Programming; or equivalent combinations of education and/or experience
- 5+ years of demonstrated Database Management experience working with CRM systems; experience using Raiser’s Edge and other Blackbaud database tools is a significant asset
- Experience with designing and creating effective performance dashboards; experience using custom report tools such as Crystal Reports a definite asset
- Sound knowledge of statistical theory, practice and application
- Solid experience using data import/export tools
- Excellent data manipulation skills and advanced proficiency using Microsoft Office products, including Excel, Word and Powerpoint; ability to configure, program and customize APIs a definite asset
- Experience managing relationships with staff and multiple service providers
