Primary Purpose Under the direction of the Chief Development Officer (CDO) the Planned Giving Officer oversees the day-to-day administration of Save the Children Canada’s (SCC’s) Legacy Program.  Using his/her administrative, communication and relationship management skills, the Planned Giving Officer is responsible for estate and bequest administration, coordinating planned giving marketing initiatives, supporting planned giving communications and stewardship, implementing donor recognition strategies and providing support to the Major Gifts Manager with outreach activities. Good judgment, attention to detail, and the ability to effectively and clearly communicate technical information (i.e. charitable bequests, gifts of life insurance, charitable gift annuities, gifts of RRSP/RRIF, etc.) are keys to success, allowing him/her to build strong relationships with donors, professional advisors, as well as suppliers, field workers, and colleagues. The following represent accountabilities for this position.  These accountabilities are to serve as a basis for developing annual work plans for the incumbent. Accountabilities 
1 Estate and Bequest Administration 
  • Responsible for the management of estate administration: review notices and enter information in the database, review open estate files to determine status, follow up with Estate executors and solicitors
  • Work with the Finance department to oversee the timely processing of releases and other estate documentation as needed
  • Engage and liaise with professional advisors for counsel to help resolve complicated or contested estate files as necessary
  • Work in conjunction with the CDO, Major Gifts Manager, and the Finance department to ensure estate files are moving forward appropriately
  • Provide timely support for all aspects of the program to internal and external stakeholders
  • Work in conjunction with other SCC departments to ensure gift designation and recognition are met, on an as-needed basis
  • Record all transactions and update all daily incoming correspondence in the database and act as the point person for key reports relating to the Legacy Program
  • Maintain current and precise database information to ensure accurate revenue tracking, giving trends and analysis
  • Develop, monitor and provide historical data, metrics and analysis to assist in forecasting
  • Manage regular reports as required and share on an as-needed basis
2 Planned Giving Communications and Stewardship
  • Track and report on planned giving acquisition initiatives, including the creation of follow-up plans for respondents, help to identify warm leads, track responses, and coordinate communication with confirmed and prospective planned giving donors
  • Respond to donor enquiries relating to planned giving through mailings, phone calls and emails as appropriate
  • Maintain and update donor records in the database including contacts with donors, mail and email correspondence, thank you calls, event attendance, and meetings
  • With support from the CDO, develop and implement stewardship plans for planned giving donors and prospects to ensure the building of long-term relationships with these key stakeholders.
  • Identify opportunities to maximize the revenue stream and enhance operational efficiencies including the use of technology, always being mindful of donor-centricity
3 Major Gifts and Program Support 
  • Plan and participate in donor and prospecting events and activities
  • Assist in the organization of regional donor visits with donors and prospects
  • Identification and qualification of planned giving donors and prospects
  • Support Major Gifts Manager in preparing planned giving materials and information packages for meetings and events
4     Planned Giving Marketing 
  • Collaborate with the Direct Marketing team to market and promote the planned giving program through SCC donor publications and external advertising
  • Coordinate activities aimed at generating planned giving leads through donor surveys, phone calls, advertisements, etc. and develop follow-up strategies
Qualifications and Experience
  • College diploma or university degree in a related field
  • Post-graduate certificate in a course of study such as Fund Development, Communications, Marketing, Non-profit Management, is an asset
  • 2+ years of demonstrated professional experience in the fields of fundraising, planned giving or direct-marketing
Other Requirements
  • Stay current with developing trends and areas of development for planned giving
  • Track expenses and coordinate payment for all planned giving activities
  • Additional tasks as required and requested
Skills and Competencies
  • Fluent in English (oral and written)
  • French communication skills (oral and written), an asset
  • Highly organized with exceptional administrative skills

  • Detail-oriented, excellent writing skills and an ability to clearly communicate technical information
  • Possess an understanding of marketing principles, donor recognition strategies and planned giving vehicles
  • Self-motivated, confident, energetic, and creative
  • Strong computer skills with proficiency in Microsoft Office applications
  • Experience with Raiser’s Edge, an asset
  • Strong affinity with the mission and values of SCC, and familiarity with the humanitarian aid sector
  • Displays cultural, gender, religion, race, nationality, age sensitivity and fully complies with Save the Children’s Child Safeguarding Policy and Guidelines
